Party planner for a birthday party

Here’s a step-by-step planner to make sure your party gets done right!

4-6 weeks before the party

Choose the theme, including games and activities.

Make the guest list.

Choose a date and time.

Decide on the location: indoors, outdoors, at home, or at another location.

Decide on the time of activities and games.

Order party supplies including decorations, paper goods, plates, cups, napkins, tablecloths, wrapping paper, duct tape, pinatas, and party favors.

Reserve/Order entertainment and/or location. Be sure to review contracts and save receipts.

3 weeks before the party!

Please send out the invite including my email address (along with phone number) for answers and questions.

Review instructions for games, activities, and crafts. Make sure you have all the items you need. Buy everything you need.

Ask family and friends for help. They may answer the door/phone, take pictures/videos, help with games and activities, help with food/cake/ice cream, hand out party favors, and clean up.

1-2 weeks before the party!

Please check RSVP, call or email if needed.

Confirm the help of family and friends.

Get party favors/prizes organized and ready for the party

Order the cake and balloons.

Confirm entertainment/rental.

Buy film, batteries, video tapes, and disposable backup film.

Buy birthday gifts, food and candy.

1 day before the party!

Wrap gifts.

Prepare the food in advance.

At night, when everyone is in bed, clean the house and prepare the place for the party. If you’re having it at a different location and need to prepare it before the party, see if you can do it the night before. Otherwise, pack any non-perishable party items by the door.

Party day!

Collect the cake and balloons. If you’re making the helium yourself, be sure to give yourself plenty of time.

Get prepared! Have fun!

Don’t forget to make time in the next few days to write thank you notes.
